Visa policies

Authors

Authors of accepted papers who need a visa to enter Italy may request an invitation letter from the conference. The request procedure and link will be made available through the ISIT 2027 registration/submission system. When requesting a visa support letter, authors should provide the following information:

  • full name, exactly as it appears on the passport;
  • date of birth;
  • passport number;
  • passport date of issue;
  • passport date of expiry;
  • affiliation;
  • paper title.

A visa support letter from ISIT 2027 does not guarantee that a visa application will be approved. The letter is provided only to confirm the participant’s role in the conference and the purpose of travel to Italy.

Non-authors

Visa support letters for non-authors will only be issued to registered participants who have paid their registration fee in full.

All participants who need a visa to enter Italy are responsible for obtaining the appropriate visa before travelling to the conference.

For official and up-to-date information, please consult:
The Italian Ministry of Foreign Affairs visa portal: https://vistoperitalia.esteri.it/
information on the Schengen Area: https://schengenvisainfo.com/schengen-area/

Italy is part of the Schengen Area. Participants coming from a Schengen Area country generally do not need a visa to enter Italy, but they must travel with a valid identity card or passport. Participants from countries outside the Schengen Area may need a visa to enter Italy.

Participants should check whether they need a visa using the official Italian Ministry of Foreign Affairs visa portal.

Visa procedures may take several weeks and, in some cases, two months or more. Since Italy is a popular destination during the summer months, participants are strongly encouraged to begin the visa application process as soon as they decide to attend ISIT 2027.

The conference organizers cannot contact or intervene with any Embassy or Consulate on behalf of individual participants. Participants should contact the Italian Embassy or Consulate responsible for their place of residence directly.

If no visa appointments are available through the online scheduling system, participants are encouraged to contact the Embassy or Consulate directly to ask whether an appointment can be arranged.

Participants who already hold, or plan to obtain, a valid multiple-entry Schengen visa from another Schengen country should verify whether it also covers their trip to Italy.

During their stay in Italy, participants requiring a visa are advised to have suitable travel and medical insurance coverage.

A visa support letter from ISIT 2027 does not guarantee that a visa application will be approved. The final decision rests with the relevant Italian Embassy or Consulate.

Refunds

Refunds for cancellations due to non-issuance of a visa will not be granted unless proof is provided that the participant requested a visa appointment promptly after deciding to attend ISIT 2027.
